Everything you need to know about contributions at HC Rotterdam

Each member of the association is obliged to pay an annual contribution to be determined by the AGM. The association year runs from July 1 to June 30 of the following year. Contribution invoices are sent to members annually in July. If you pay in installments or have a direct debit, the 2nd installment will be sent in September and the 3rd installment in November. There is an additional contribution for training teams (top youth) and the regional top teams for youth.


The AGM has decided to increase the contribution for the 2023-2024 season by a percentage of 6% compared to last season:

*O9 will train twice a week from March 2024 (after the winter break).

The contribution for the new season is determined annually at the General Members Meeting (ALV) in the spring. If you want to influence this as a member, or give your opinion, come to the AGM.


Registration fee When registering a new member, a one-off registration fee of € 100 will be charged. New (young) senior members do not pay a registration fee. New members are members who have not been a member of HC Rotterdam in the past 5 years.


Payment periodThe contribution is charged at the beginning of the season. The invoice will be sent by email. By clicking on the email, you will be taken to a personal payment page, where the invoice can be viewed, downloaded and paid. You can choose to pay via iDeal or direct debit in 3 installments. If no choice has been made before July 25, a direct debit will be carried out in one installment around August 1.


Please note: many youth members have entered their own email address as a contact address in the app. This change has been automatically processed in the membership administration and this means that the contribution email will arrive in the mailbox of your son(s) and/or daughter(s). Kindly ask your child(ren) to forward this email to you.


Starting from the 2023-2024 season, the various amounts must be paid on the following dates of the current season:


Field hockey contribution 1 december
Registration fee 1 december
Contribution of top and youth training teams February 1
Contribution to regional youth teams 1 december
Indoor hockey contribution for seniors March 1

The above payment terms also apply if you opt for payment in installments.


If a new member is assigned to a team, this also means that there is an obligation to pay contributions. If a member registers later in the season, this will affect the amount of the contribution. The table below shows how this is structured.

Late payment Because payment arrears not only create unnecessary extra work for the Administrative Committee, but also disadvantage paying members, the board strictly monitors the collection of contributions. If the contribution is not paid before the set payment date, the member in question will be suspended. This means that the member can no longer exercise the rights associated with membership - and therefore cannot participate in training and competitions - until the payment obligations have been fully met. A playing ban will be communicated by email to the member involved, the line coordinators and the captain or team manager. The contribution will also be increased by €25 in administration and reminder costs.


Two months after the due date of an invoice, the board can - without prior notice to the member - outsource the collection of the claim. If payment is not made despite these steps, expulsion and notification to the KNHB may ultimately take place. Avoid suspension or a collection procedure by paying the outstanding contribution invoice as quickly as possible or by making an arrangement with the treasurer via [email protected]. A payment arrangement applies for 1 season. All agreements regarding a payment arrangement from the past do not automatically apply to a new season.


Refund Membership is binding. In specific cases, a member can submit a refund request to the board. A complete refund of contributions is excluded at all times.

The board will only process a refund request for a partial refund if all the conditions below are met:

 

    There are no outstanding contribution amounts for the member in question. The member has not been able to play hockey for an entire autumn competition and/or spring competition due to a long-term injury sustained on the hockey field.

 

The board will decide once, immediately after the end of the season, about partial refunds. A recalculation of any family discount will also take place. There will never be an interim and/or full refund. Premature termination of membership will never lead to a refund.


Contribution of top and training teams In the past season, almost € 80,000 was again spent on the guidance of the top youth and youth training teams. About 50% of this was paid from the club fund and about 50% was contributed through the top sports contribution. HC Rotterdam strives for a sustainable model for top sport. This means that the financing from the club must be at a level acceptable to all members.


Taking into account the above, the additional contributions for top youth and youth training for the 2023-2024 season have therefore been determined by the board as follows:

The top sports contribution will be charged to the players from the relevant teams in December.



Contribution to regional top teamsThe regional top teams receive a set of competition shirts with a back number on loan. An annual contribution of € 22.50 is charged to each player for this. The loan contribution will be charged with the membership fee.


The regional top teams are: Boys O18-2, Boys O16-2, Boys O16-3, Boys O14-2, Boys O14-3, Boys O12-3, Girls O18-2, Girls O16-2, Girls O16-3, Girls O14-2, Girls O14-3, Girls O12-3 and Girls O12-4.


Family discount from the third family member in a familyFamily discount is only calculated on contributions, not on, for example, registration fees and/or top sports contributions. The discount is determined based on the address at which the family members are registered.


    Third family member: 10% discount on the contribution of the member in question. Fourth family member: 15% discount on the contribution of the member in question. Five and more: 20% discount on the contribution of the member(s) in question.

Duo membership for senior teams*With the duo membership it is possible for two duo members to play together as one full member in a competition team. To be eligible for duo membership, the following conditions must be met:


    Duo membership is only possible for senior teams. A team consists of at least 14 'full time' players. For example, if a team has 18 players on the list, 2 duos can be registered. A duo must register at the same time and be linked to each other. The duo mutually determines how many matches are played per duo member. Prior to each hockey season, a duo membership must be reconstituted & confirmed.


As a duo member you pay €268 per person, so €536 per duo. This is higher than a regular membership because we have to pay to the KNHB for both members. Duo membership can be requested by sending an email to the membership administration.


Administration costs associated with a yellow or red cardYellow and red cards, in addition to registration and a ban on playing, can also result in a fine and administration costs. For each penalty, the KNHB imposes a fine on the club, which is increased by administration costs. These costs will be settled with the member in question, who must pay the amount to remain eligible to play.


The following amounts will be charged:

Youth: yellow card € 17,50
Seniors: yellow card € 25
Youth and seniors: red card € 52,50


Change data

It is important for the club that the administration is up to date, so please report any changes as soon as possible. Members can enter changes in address, (mobile) telephone numbers and email addresses themselves in the app. These are then automatically processed in LISA, our central membership administration system. This administration system and the app feed each other with data.

Contribution invoice Contribution invoices will be sent by email at the beginning of July. If you pay by bank, we would like to receive payment within 14 days. It is not possible to pay in installments when paying by bank.


The board has decided to no longer facilitate payment by bank for new members or members who currently pay by direct debit. For direct debit, you can opt for a one-off direct debit in July or a spread direct debit. With a staggered collection, the amount due will be debited from the bank account in three installments. This will happen in the months of July, September and November.


We would like to point out that your membership is binding. Refund of contribution (in whole or in part) is not possible. The only exception to this is an injury sustained on the hockey field that will keep you sidelined for the rest of the season.
